The safest way to read a Tabelog booking is to separate the platform charge from the restaurant relationship.

The important point is that paying JPY 440 per person does not prepay the meal. It buys use of the reservation service. A restaurant can also have its own cancellation policy, and the amount can be much larger than the system fee.

What the JPY 440 fee covers

Tabelog calls the JPY 440-per-person charge a system usage fee in its English FAQ and a reservation fee in the English reservation terms. It is charged immediately when the reservation is confirmed. Tabelog also warns that the amount may change without notice, so the live confirmation page is the final check.

For two guests, the current displayed system fee is JPY 880. For four guests, it is JPY 1,760. These examples multiply the currently stated JPY 440 fee; they are not estimates of your dining cost.

Reducing the party later does not automatically reduce or refund the reservation fee already paid. This makes the guest count worth checking before confirmation, especially when friends have not committed yet.

If you need to cancel and create a new reservation, Tabelog's FAQ says the system fee is charged again. Do not use cancel-and-rebook as a casual editing tool.

What the registered card does—and does not pay

Tabelog requires a payment method for an online reservation through the multilingual service. The payment details may also trigger a card-security authentication step.

The registered method has two main roles:

• it pays the JPY 440-per-person system fee; and
• it can be charged a restaurant cancellation fee when the restaurant's displayed policy applies and the restaurant decides to collect it.

It does not normally pay the final restaurant bill. Tabelog's terms say food and beverage charges are paid directly to the restaurant, including items selected through the reservation and additional items ordered at the table.

The card that works on Tabelog is therefore not proof that the restaurant accepts that same card at the venue. Check the restaurant page for the meal-payment methods. Carrying an alternative payment method is sensible when the listing is unclear.

Tabelog says the same registered payment method is used for the platform reservation fee and the restaurant cancellation-fee arrangement. Use a method in your own name and make sure it remains usable through the reservation date.

How changes work

The English FAQ says the online change flow supports only:

• date;
• time; and
• number of people.

For other changes, Tabelog tells users to contact the restaurant directly. The reservation terms specifically say a reserved course cannot be changed through the service. A course change may require direct contact, cancellation or another process chosen by the restaurant.

To reach the change page, use the link in your confirmation email, enter the 10-digit reservation number, complete the email and phone-number verification flow, review the booking and submit the supported change. Save the new confirmation email.

Changing a booking does not erase the restaurant's cancellation policy. Tabelog's terms say changes can be treated under the applicable cancellation conditions. Before submitting, read any fee warning shown for the revised booking.

Change or cancel and rebook?

Use the supported change function when the new date, time or party size is available and the screen does not add an unacceptable consequence. Contact the restaurant when the website cannot handle the request.

Cancel and rebook only after checking all of these:

• the replacement table is actually available;
• the restaurant's cancellation fee for the old booking;
• the new JPY 440-per-person system fee;
• whether the original system fee is non-refundable;
• whether the course or conditions change.

Do not cancel the old booking first if losing the restaurant would seriously affect your trip. Confirm the safest sequence with the restaurant.

What happens when you cancel or do not arrive

There are two separate consequences to consider.

First, the Tabelog system fee is generally non-refundable when you cancel for your own reasons. This can be true even if you cancel before the restaurant's penalty deadline.

Second, the restaurant may charge its own cancellation fee according to the policy displayed when you booked. Tabelog's terms say cancellation, failure to arrive, late arrival and a reduction in party size can be covered. The restaurant decides whether to collect the fee, and Tabelog may collect it using the registered payment method on the restaurant's behalf.

The confirmation email or reservation page should show the applicable restaurant policy. Save it when you book. If the restaurant later charges a cancellation fee and you have a question about the amount or application, the English FAQ directs you to the restaurant.

For an online cancellation, use the reservation-management link from the confirmation email, complete the verification steps, review the booking, select the cancellation confirmation and keep the cancellation email. If the online process fails, contact the restaurant directly instead of assuming that an error screen cancelled the table.

When is the system fee refunded?

Tabelog states one clear general exception: if the restaurant initiates the cancellation, the system fee for that reservation is refunded. Its terms also say restaurant-caused cancellation triggers refund treatment for the reservation fee.

That does not mean every travel disruption creates a refund. A missed train, flight delay, illness, itinerary change or decision to eat elsewhere is still a traveler-side cancellation unless the restaurant or Tabelog confirms otherwise for the booking.

If the restaurant cancels:

1. keep the restaurant or Tabelog cancellation message;
2. check the payment method originally used;
3. allow for card-processing time;
4. contact Tabelog through its official support route if the stated refund does not appear.

Do not dispute a charge merely because it is unfamiliar. First identify whether it is the JPY 440 system fee, a small card verification amount, the restaurant's cancellation fee or the restaurant bill.

Plan B when the website cannot make your change

Tabelog says restaurants manage the reservations. If the online process cannot check, modify or cancel your booking, contact the restaurant directly.

Use this short message structure:

• your name;
• reservation date and time;
• party size;
• 10-digit reservation number;
• the exact requested change;
• a request for confirmation of any fee before action.

If a language barrier prevents a call, ask your hotel concierge or another trusted Japanese speaker to help. Give them the reservation facts, not your card details. Keep the confirmation email available.

If you cannot reach the restaurant and the deadline is approaching, preserve evidence of the failed online attempt and the time of your call or message. This does not guarantee a waiver, but it gives the restaurant a clear record when you explain the problem.
